Presencia AI is a done-for-you conversational assistant service for independent hospitality businesses. This policy explains what data is collected when a visitor interacts with a Presencia AI assistant, how it is used, and how it is protected.

This policy applies to visitors who interact with a Presencia AI assistant on a client's website, and to visitors who interact with the demo assistant on presenciabot.com.

What data we collect

When a visitor interacts with a Presencia AI assistant, the following information may be collected during the conversation:

Name, if voluntarily provided by the visitor
Email address, if voluntarily provided by the visitor
Phone number, if voluntarily provided by the visitor
The content of the conversation (questions asked, interests expressed, event details mentioned)
A session ID — a randomly generated technical identifier used to group messages from the same conversation. It contains no personal information.
The type of inquiry (for example: room stay, wedding, corporate retreat)
Whether a booking or contact link was sent during the conversation

We do not collect payment information, government IDs, or any sensitive personal data.

How we collect it

All data is collected through the conversation itself. Visitors provide information voluntarily by typing it in the chat. We do not use tracking pixels, cookies, or behavioral analytics to collect data about visitors.

How we use it

Data collected through the assistant is used exclusively to:

Log the conversation and lead details for the property's team to follow up
Send an email alert to the property when a high-intent lead is detected
Generate a monthly intelligence report for the property with aggregated conversation insights
Improve the assistant's responses over time based on real conversation patterns

We do not sell, share, or rent visitor data to third parties. Data is never used for advertising purposes.

Where data is stored

Conversation logs and lead data are stored in Google Sheets, managed through Google Apps Script. Google's infrastructure is used solely as a data store. Presencia AI does not share this data with Google for advertising or any other secondary purpose.

The AI assistant is powered by Google's Gemini API. Conversation content is processed by Gemini to generate responses. Google's data handling policies for the Gemini API apply to this processing.

Who has access

Conversation data is accessible to:

Victor Calabro (Presencia AI founder), for service delivery and quality assurance
The property or business that has deployed the assistant on their website, for lead follow-up

No other parties have access to visitor conversation data.

Data retention

Conversation logs are retained for the duration of the service agreement with each property. When a property's service ends, their data is deleted from our systems within 30 days upon request.

If you interacted with a Presencia AI assistant and would like to request access to, correction of, or deletion of your data, you can contact us at:

Changes to this policy

We may update this policy as the service evolves. The date at the top of this page reflects the most recent revision. Continued use of any Presencia AI assistant after a policy update constitutes acceptance of the revised terms.
